Committees System Types and Codes

The following table describes the system types and codes for the committees. Please note that non-fixed system types and codes should be setup prior to working with committees.

If you plan on using committees on the web, make sure you web enable the system types and codes that you want to display on your e-Business website or they will NOT display on the web. See Committees on the Web for more information.

Y

The status of the committee position nomination. The following codes are delivered with base and cannot be changed:

·       Appointments

·       Nominations

·       Suggestions

 

The Nomination Status field displays on the Committee Nomination Detail screen on the Demographics tab.

PARTICIPATION_STATUS

N

The status of the committee member within the committee. For example, Active or Inactive.

 

The Participation Status field displays on the Committee Member Details (COM002) screen.

POSITION

N

The position of the committee member within the committee For example, Chairman or Member.

 

The Position field displays on the Committee Member Details (COM002) screen, the Committee Structure screen, and the Committee Nominations screen.

The subcodes defined for each POSITION code populate the "Sub-Position" field on the Committee Member Details (COM002) screen and the "Position Type" field on the Committee Structure screen.

In order to establish positions hierarchy for Committees, in the Display Order field, enter a numeric value. The position that will be considered the highest will have the lowest number defined in the Display Order field. For example, if you had the following positions: associate with a display order of "10", president with a display order of "0", and member with a display order of "1". The position hierarchy would be as follows: president, member, and associate.

 

In addition, the codes that are web enabled for the "Position" type display on the following controls on the web:

·       Committee Term Details

RELATED_DOC

N

The type of customer-related document uploaded to the system. For example, Resume or Committee Minutes.

 

The Related Document field is located on the Resume/Related Documents screen.

Prior to 7.5.2, you were unable to change the document type on the Resume/Related Documents screen and if an individual added a document other than minutes to a committee on the web using the Attachments control, you were unable to view these attachments on the this screen; the only document type that was stored in the back office for committees was committee minutes. As of 7.5.2, you can define additional document types in the non-fixed system type CUS "RELATED_DOC" and these documents are stored on the Resume/Related Documents screen. COM “RELATED_DOC” is being used in conjunction with an upgrade script, so that existing minutes files that were saved in the past are accessible after upgrading to 7.5.2. In future releases, COM “RELATED_DOC” and CUS "CUSTOMER_DOCUMENT" will be depreciated.

TERM

N

The term period (in months) that is used as a default to calculate the end date of the added member.

 

The Term field displays on the Committee Structure screen.

VOTING_STATUS

N

Indicates whether the committee member assigned to the position is allowed to vote in the committee.

 

The Voting Status field displays on the Committee Member Details (COM002) screen and Committee Structure screen.
