Defining Advertising Product Pricing

After rate codes are created for advertising products, pricing records must be created. pricing for advertising can be defined differently than for other products in Personify360. For advertising products, pricing can be defined by:

·            Regular, date-driven pricing   

·            Pricing based on an advertising rate-card schedule (this is done so that past year pricing can be given)

·            Percentage-based fees

 

Even if your organization gives pricing off of previous-year rate cards, current pricing still needs to be defined by creating pricing records so that past year’s pricing can be added to the rate cards. Typically, pricing is created for an advertising product using both an advertising rate-card schedule for past rate-card pricing and regular date-driven prices for current pricing. The year of the rate card from which an advertiser’s pricing will be calculated is defined in each advertiser’s contract.

 

The rate card year defaults into insertion orders from the contract. If no rate card year is defined on the insertion order line, pricing is calculated using the regular pricing records. For more information on creating a rate card schedule see Defining Cancellation Fee Schedules.

 

A percentage fee is a fee that does not have a defined price assigned to it. Instead, the amount of the fee is calculated by multiplying the price of certain items in the order by the percentage identified for the percentage fee. The sales price of a product marked “Include in Pct Fee” are the only products on which the percentage fee is calculated. For example, sometimes a color surcharge is calculated as a percentage of the display advertisement charge.

Percentage Fee products cannot be master products.

To define advertising pricing:

1.    After having defined the advertising rates (as described in the previous section), highlight the rate code for which you want to define a price.

2.    In the Pricing Detail section, click Add Price.
A new row is added to the grid and the adjoining fields become active.

3.    Select the Currency type you want for this rate code from the drop-down.

4.    Enter the Price in the text box.

5.    Select the Valid from date from the drop-down.
This defaults to the Valid from date selected on the General Product Setup screen.

6.    If necessary, select the Valid thru date from the drop-down.

7.    Enter the Max Adjusted Price. If “AR” or “Reject” was chosen from the Short Pay drop-down, this field will be read-only.

8.    Enter the Min Adjusted Price. If “Reject” was chosen from the Short Pay drop-down, this field will be read-only.

9.    Enter the Min Price to Activate. This field only displays when “AR” is chosen from the Short Pay drop-down. This field is read-only.

10.  Enter the Max Auto Write-off price. If “Adjust” was chosen from the Short Pay drop-down, this field will be read-only.

11.  In the Price by Schedule section, check the Price by Advertising Rate Card checkbox, if necessary.

12.  Click Save.

Screen Element

Description

Add Price

Button. When clicked, a row is added to the Pricing Detail table and the corresponding fields are enabled to add a pricing structure.

Delete Price

Button. When clicked, the highlighted row from the table and the pricing structure are deleted.

If a price has been added by mistake, deleting the incorrect price will automatically set the previous price’s End Date to NULL, only if it is one day prior to the new price.

Currency

Drop-down. Indicates the currency associated with the selected pricing record. Typically, this is the base currency.

Rate Structure

Read-only. Indicates the rate structure associated with the selected pricing record.

Rate Code

Read-only. Indicates the rate code associated with the selected pricing record.

Price

Text box. The price for this rate structure, rate code, and currency before any applicable discounts. The price can be zero dollars. If an advertising schedule is defined with the price and the price is changed, the system updates the price on the advertising rate card schedule detail record.

Valid from

Drop-down. Indicates the date the price becomes effective. The system evaluates the Order Date against this date and the Valid To date to select the correct price for the order line. It defaults to the Available date selected on the Advertising Product General Setup screen.

Valid thru

Drop-down. Indicates the last date this rate is effective for this rate code. The system evaluates the Order Date against the Valid From date and this date to select the correct price for the order line.

Max Adjusted Price

Text box. Controls adjustable pricing and is ignored for other short-pay codes. When the Short Pay code is ADJUST, the system adjusts up only to this price. It is visible only if Short_Pay flag = “ADJUST”. When the short pay code is “ADJUST”, the price will only adjust down to this amount. If less is paid, then the line item will not be activated.

Min Adjusted Price

Text box. Controls adjustable pricing and is ignored for other short-pay codes. When the Short Pay code is ADJUST, the system adjusts up only to this price. It is visible only if Short_Pay flag = “ADJUST”. When the short pay code is “ADJUST”, the price will only adjust down to this amount. If less is paid, then the line item will not be activated.

Min Price to Activate

Text box. Controls various aspects of the behavior of an order depending on the Short Pay value. This is the price that must be paid prior to the line item being considered active.

Max Auto Write-off

Text box. Controls what amount is acceptable as a final price.

Fair Market Value

Read-only text box. If a product is complimentary or sold at a discount, then you can add the actual amount of the product here.

Price by Schedule

Price by Advertising Rate Card

Checkbox. When checked, identifies if the price is using an advertising rate schedule. If a pricing record is using an advertising schedule, it must also be defined with regular date-driven pricing.

Rate Card Begin Year

Drop-down. The year the rate card pricing begins.

Rate Card End Year

Drop-down. The year the rate card pricing ends.
