Creating a Transcript Exam

Using the Exam Code Definition screen, you can define exams that will later be linked to Certification requirements. This screen is used to define exam codes and associate these with other products (typically meetings and sessions) in Personify360. You can also add sub-tests and answer sheets related to the exam.

 

You can define a transcript program that is related to a exam code. Then, you can define multiple products, each of which is linked to this exam code. For example, if you want a transcript program for those who take the Accounting 101 exam, but don’t want to create a program for each instance of the Accounting 101 exam that you give, particularly since you may give this exam many times.

 

Exams can either be Inventoried Products or Meeting products. An Inventoried exam is typically an exam that is mailed to customers. A Meeting exam is used when there is a location, date, and time to take the exam.

To define exams:

1.    From the Personify360 main toolbar, select Transcript Setup > Exam Code Definition.

2.    Click Create New Transcript Exam.
The Exam Code Definition screen displays, as shown below.

3.    Enter the Exam Code and Description.

Once you enter information in these fields, the tabs become active.

4.    Select the Exam Type from the drop-down.

5.    Select the Exam Status from the drop-down.

6.    If necessary, select the Expiration Date from the drop-down.

7.    On the Sub-Tests or Answer Sheets tab, click Add Sub-Test and enter the Test name and Description.

8.    On the CE Credit Allowed tab (shown below), perform the following to define types of CE credits for the exam:

a.    Click Add.

b.    Select the CE Credit Type Code from the drop-down.

c.    Enter the Credits Allowed.

9.    On the Product Links tab (shown below), click Associate Product and search for a product to associate to the exam.
The product information displays in the Associate a Product with this Exam section.

10.  Click Save.

Screen Element

Description

Exam Code

Text box. A unique code for the exam.

Description

Text box. The description for the exam.

Exam Type

Drop-down. The type of exam. This is useful for querying and reporting.

For example, Final Exam or Continuing Education Exam.

Exam Status

Drop-down. Identifies whether an exam is active or not. Only an active exam that is not expired can be linked to a product, transcript program, or certification program.

For example, Active, Expired, or Pending.

Expiration Date

Drop-down. The expiration date for the exam. Registrants cannot take the exam after this date. Only an active exam that is not expired can be linked to a product, transcript program, or certification program.

Sub-Tests or Answer Sheets

Add Sub-Test

Button. When clicked, a sub-test is added to the exam. Sub-tests could be an answer sheet or additional tests within an exam.

Delete Sub-Test

Button. When clicked, the highlighted sub-test is deleted from the exam.

Test

Text box. The name of the sub-test for the exam.

Description

Text box. The description of the sub-test.

CE Credit Allowed

Add

Button. When clicked, a CE credit is added to the exam.

Delete

Button. When clicked, the highlighted CE credit is deleted from the exam.

CE Credit Type Code

Drop-down. The type of Continuing Education credit for which the exam will award credit. If CE Type Codes are being defined by state, the code should be defined as a combination of State Code and CE Credit Type Code.

For example, CACEU for a CEU in California.

Credits Allowed

Text box. The number of credits allowed for the CE type for the exam.

CE Credit Mapping

Button. When clicked, the Transcript CE Type Geographic Mappings screen displays. See Defining Geographic Mappings for more information.

Product Links

Associate Product

Button. When clicked, the Product Chooser screen displays. Select a product to link to the exam.

Disassociate Product

Button. When clicked, the highlighted product is disassociated with the exam.

Refresh CE Credits

Button. When clicked, the system deletes all of the records in the Product_Education_CE table for the selected product and recreates records from the TRN_Exam_CE table.
